Poster Board Specifications
1. Presentation Type
  • This is a physical (printed) poster presentation. 
  • Posters must be displayed on the allotted poster boards only. 
2. Poster Board Specifications
  • Poster Board Size:
Height: 120 cm (4 ft) 
Width: 90 cm (3 ft) 
  • Orientation: Portrait Size 
  • Posters exceeding these dimensions will not be accommodated. 
  • Posters should be printed on flex, matte paper, or laminated sheet. 
  • Pins / Velcro will be provided at the venue. 
  • Posters must be self-mounted by the presenter.
3. Poster Content Structure
  • Posters should be clearly structured and include the section as mentioned in the template.
4. Font & Layout Guidelines
  • Title Font Size: Minimum 60–72 pt 
  • Headings: Minimum 36–44 pt 
  • Body Text: Minimum 24–28 pt 
  • Use clear, readable fonts (Arial, Calibri, Times New Roman). 
  • Maintain high contrast (dark text on light background preferred). 
  • Avoid overcrowding; use bullet points, tables, and images where appropriate.
5. Images, Tables & Graphs
  • Images and graphs must be high resolution. 
  • Maximum allowed: 
    • 2 images, or 1 
    • 2 tables/graphs, or 
    • 1 image + 1 table/graph 
    • All figures and tables must be clearly labeled.
    6. Poster Display & Attendance
    • Posters must be displayed at least 30 Mins before the start of the poster session. 
    • Presenters must be present at their poster during the assigned judging/viewing time. 
    • Posters should be removed after the session as per conference instructions.
    7. Judging Criteria
    • Scientific content & originality 
    • Clarity of objectives and conclusions 
    • Presenter’s explanation and interaction 
    • Visual appeal and organization
    8.Timing & Judging
    • Presentation time: 3 minutes
    • Q&A and assessment by judges: 1 minutes
    • Total duration: 4 minutes
    Important Notes
    • Non-compliance with size or format guidelines may lead to disqualification.
    • The organizing committee is not responsible for loss or damage of posters.
    • The decision of the judging panel and organizing committee will be final.

    Oral (Paper) Presentation
    1. Slide Design & Branding
    • Slides must contain only the YROC 2026 Conference Logo.
    2. File Format & Compatibility
    • Presentations must be prepared and submitted in Microsoft PowerPoint (.PPT or .PPTX) format only. 
    • PDF, Keynote, Google Slides, Prezi or Canva formats will NOT be accepted. 
    • Use standard fonts such as Arial, Calibri, Times New Roman, to avoid rendering issues on the presentation laptop. 
    • The maximum number of slides allowed is 6, inclusive of the title slide and the thank-you slide. 
    • Recommended slide size: 16:9 widescreen (PPT → Design → Slide Size → Widescreen 16:9)
    3. Mandatory Slide Structure
    • Your presentation must follow the structured format below as mentioned in the template

    Note

    (i) Avoid excessive animation, heavy transitions, or embedded videos 

    (ii) Unless necessary-they may cause delays during projection. 

    4. AV Submission & On-Site Requirements
    • All presenters must submit their final PPT at least 24 hours before the session. 
    • On the event day, presenters should report to the Speaker Ready Room/Preview Room/AV Team at least 1 hour before their session to: 

    A. Verify compatibility 

    B. Test audio/video (if included) 

    C. Ensure formatting displays correctly on the main screen 

    • Presentations will run only through the conference AV system at the preview room (Personal laptops will not be permitted to ensure seamless transitions)
    5. Timing & Judging
    • Presentation time: 4 minutes 
    • Q&A and assessment by judges: 1 minutes 
    • Total duration: 5 minutes 
    • The AV team will display a timer on the monitor; time limits will be strictly enforced
